BIP Admin process and support:
Sending and receiving students participating in a BIP
Before partners can send and the host university can receive students, an Erasmus+ inter-institutional agreement (IIA) must be established between
the hosting institution of the BIP
and the sending ones.
While it would suffice to use
already in place semester credit mobility IIAs, a number of universities
(within and outside of Unite!) prefer to sign specific IIAs for BIPs. In these
cases, the agreements need to be signed before the mobilities take place. Please
reach out to your local contact to decide on the preferred option for your BIP.
Sending Students:
Conducting outgoing student mobility
In order to send students, the same requirements as for an Erasmus+ semester stay need to be fulfilled. The sending institution is responsible for the following before the start of the BIP:
- Selection and nomination at the partner university
- Issuing the (Online) Learning Agreement for the student
- Issuing the Erasmus+ Grant Agreement for the student
Moreover, it is essential that the
students are registered in the Beneficiary Module in order for them to count
towards the minimum participant number of the BIP. After the stay, students
need to fill out an EU Survey sent out via the Beneficiary Module.
Important:
Financial support of current Erasmus+ incoming students that are already
participating in a mobility during the same dates as the ones of the physical
part of the BIP is not possible (double-funding).
In general, students currently holding an EU scholarship cannot be granted any further Erasmus+ grant.
Receiving Students:
Conducting Incoming Student Mobility
The receiving university is responsible for the following:
- Providing information about (nomination) procedures in place for the BIP as well as contact person(s) partner universities can reach out to if needed
- Receiving nominations and reaching out to prospective incoming students
- Registering incoming students
- Issuing a Transcript of Records with at least 3 ECTS after the official end of the BIP
- Issuing a Confirmation of Attendance to the participants (or directly to the home universities) at the end of the physical stay, indicating the start and end date of the physical component; the virtual component should be indicated separately
