Role of each partner within a BIP

In general, the partners within a Blended Intensive Programme can be divided into three roles. While the coordinating institution does not deliver the virtual and physical component alone but rather in collaboration with all partners, each member has a dedicated role and tasks to fulfill.
The coordinating institution applies for funds on behalf of all partners for the organization and implementation of the BIP during the internal application period at their institution. Deadlines vary at each university but start end of December (KTH), go over Mid-February (Aalto) to end of February (TU Graz).
Moreover, the coordinating institution reports on content and budget at the end. It is also in charge of the Inter-institutional agreement (IIAs) with the co-organising partners, creates the BIP in the Beneficiary Module and sends the ID to the sending universities.
The receiving institution is the host of the physical component of the BIP and thus receives the students from the sending institutions. It can also recruit its own participants for the BIP; however, they do not count towards the minimum amount.
Usually, the coordinating university is also the receiving one. Their tasks in a nutshell:
- provides services for the participants during the physical stay
- must have an inter-institutional agreement (IIA) with all sending institutions
- signs the Learning Agreements/OLA/Mobility Agreements
- awards at least 3 ECTS for the Blended Intensive Programme
- issues the Transcript of Records as well as the Confirmation of Attendance
Sending institutions are responsible for managing and coordinating their outgoing mobility and ensuring that students receive their Erasmus+ status and are registered in the Beneficiary Module of the EU so that the participants actually count toward the minimum participant requirement of the BIP.
Their tasks in a nutshell:
- takes into account the number of short-term mobilities in SMS in project proposal Erasmus+ KA 131
- must
have an Erasmus+ inter-institutional agreement (IIA) with the receiving
institution
(can be an agreement for the BIP or an agreement for semester credit mobility, depending on the partners involved) - signs Learning Agreements/OLA/Mobility Agreements
- prepares Erasmus+ Grant agreements and pays approved Erasmus+ grants to students and staff participating in the physical part of the BIP
- registers students in the Beneficiary Module
- takes
care of the recognition of the performances achieved
